Prepare Statements

Prepare Statements allows you prepare and print periodic statements for customers. You may prepare statements as often as needed (normally once each month). You can request statements for customers with any unpaid balance, either not yet due or overdue. Select the type you want to prepare. Next, select either ALL Customers or a SINGLE Customer. Select the sort order (default is by Customer for ALL customers or by Invoice Date for a single customer). Click Execute when ready.

Next, you will see a window with the same Statement Notes you stored in the Accounts Receivable Control File. These notes will print on the bottom of each customer's statement. You may change any of these notes or delete any of the notes before printing the statements. (Deleting a note does not effect the Accounts Receivable Control File.) Help instructions are at the top of the window.

The final step, if you are preparing statements for more than one customer, is to decide whether you want to print all statements non-stop in a continuous run, or print statements one at a time. (See [*]) The default is to print all at the same time. If you want to exercise control over each statement you should reset this selection to STOP AFTER EACH. Help instructions are at the top of the window. Click Print to start the printing process.

The name and address of each customer prints on the page in the proper position to be visible through an envelope window on the left front side of the envelope.
