Journal Entries

Invoices entered, Credits Applied, and Checks are not entered into the BasicBooks General Ledger until you want them entered. This allows you to enter invoices and write checks anytime and still control when they are advanced into the journals and General Ledger.

Data from the Accounts Payable program must be ``Journalized'' before it can be reflected in the General Ledger. This is done by selecting Journal Entries from the main menu. After selecting Journal Entries you may then chose to journalize either checks, invoices, or credits which have been applied to invoices.

Journal Entries causes the transactions from the Accounts Payable files to be transfered into the General Journal or Check Journal. Invoices, Credits, and Checks in payment of invoices are entered into the General Journal. Occasional Checks are entered into the Check Journal in the BasicBooks General Ledger.

You will not be able to change these entries after they have been placed into the General Ledger journals. To view these entries in the General Ledger select the view menu items for the respective journals. To post these entries to the respective ledger accounts you must use the the General Ledger posting options, just the same as for any other entry in the respective journals.

Select the appropriate option under Journal Entries - depending on what you want to do - to forward the transactions to the general ledger program's data files. You may do this at any time there is data available to forward. The program will not allow duplicate data to be forwarded to the general ledger journals. All entries will be made for the proper accounting periods (months) depending on the date used for each item in Accounts Payable.
